We use the tool Episerver Campaign (Episerver GmbH, Wallstraße 16, 10179 Berlin, Germany) for our e-mail processes. By setting a tracking pixel when you open our e-mails, information which allows us to evaluate the user behavior (opening the e-mail, e-mail address, time, IP address) is retrieved. The links in our e-mails are designed in such a way that we can trace whether they have been clicked on. Using this information we can adapt our offers to better suit your interests.

If you are invited by TRUMPF to participate in an online meeting, the following personal information may be processed: participant information (first name, last name, e-mail address, profile picture, video picture), data from the online meeting (subject, description), and other data you provide during the online meeting via the Microsoft Teams chat feature. If necessary, TRUMPF may record chat logs. In this case, the record will be retained until the purpose for which it was created no longer exists.

The extent to which TRUMPF processes personal information depends on the information you provide. Please make sure that the graphic and text information uploaded or sent by you on a voluntary basis does not contain any sensitive personal information about you or the personal information and sensitive personal information about others.

Online meetings normally will not be recorded in real time. If real-time recording is done in exceptional circumstances, consent will be sought from all participants prior to and at the beginning of the real-time recording. Only in such cases will real-time recording take place. If TRUMPF does record an online meeting in real time upon your consent, the real time recording will be deleted once the purpose of the real time recording no longer exists.

If you register a 5-year-guarantee for your product through our website, the following personal information may be processed: your company name, name, position, street and house number, postal code, location, country/region, telephone, and email address. We collect the above information to identify and handle warranty matters related to your company and product, and to ensure that products or services and related communication can be accurately delivered to your email or location. We will keep your personal information until you notify us that you wish to have it deleted.

This Policy also applies to the use of the MyTRUMPF customer portal (Chinese version) based on the domain of the TRUMPF Chinese website (trumpf.cn). The following mainly describes the relevant business functions of MyTRUMPF (Chinese version) and the necessary personal information to be collected and processed.

You must register with or register with the help from our business personnel with our customer portal in order to use MyTRUMPF (Chinese version). You can also provide further personal information, beyond the necessary information, on a voluntary basis. All information required for the registration process is specifically marked as such, and if you refuse to allow us to process the necessary personal information as described above, you will not be able to use MyTRUMPF (Chinese version) and other major software and platforms of TRUMPF normally.

We will use your personal information within the framework of your registration activation, as well as to identify you as the contact person of an enterprise customer and to display enterprise-customer-specific content. During registration, you as a person will be assigned to one of our enterprise customers. Other employees of your company can access your information stored in MyTRUMPF (Chinese version) using this allocation. The exception is of course the password you select, which we store as a hash value and cannot view in plain text. However, third parties have no access.

If we activate the MyTRUMPF (Chinese version) User Admin function for your company, the user administrator authorized for your company can view the information you have provided during registration (see notes under "MyTRUMPF User Administrator").

Before activating the account, we check all business partners to ensure they are not listed on published sanction lists. A service provider selected by us carries out this check. The name listed during registration is checked to ensure it is not included in the sanction lists. We will block the account if we determine that the name is listed in a sanction list. The check is carried out regularly even after registration due to the fact that the sanction lists are constantly updated. We will store the status of the check. In order to perform the applicable legal obligations and responsibilities, we ensure that  TRUMPF does not do business with persons included on a sanction list. You are welcome to get in touch with our data protection team to find out which lists TRUMPF checks specifically.

Apart from that, your personal information is only processed for your MyTRUMPF (Chinese version) account and is deleted at the latest one year after the account has been deactivated.

MyTRUMPF (Chinese version) can only be accessed after the log-in process has been completed. During the log-in procedure, we process your e-mail address and the password stored as a hash value so that we are able to identify you as the contact person of our customer. This ensures that only authorized users have access to our platform.

During the log-in process, we check the status of the sanction list check by comparing it with the data in our system. We do not check the sanction lists. Only the authorization status is read out.

You can reset your password with the Recover Password function. You will have to enter the e-mail address you used during registration to do so. After entering the e-mail address, you will receive a link from us which you can use to create a new password. We will store the password you select as a hash value and not in plain text. Third parties have no access, however.

We make it possible for customers to manage access to MyTRUMPF (Chinese version) with the "MyTRUMPF User Administrator" function. We activate the MyTRUMPF (Chinese version) User Administrator function in agreement with our customers on an individual basis.

Other members of the company can be invited to participate in MyTRUMPF (Chinese version) by use of the MyTRUMPF (Chinese version) User Administrator function. The e-mail address of the other members of the company must be entered for this, and before doing so, please make sure that you have obtained the individual consent of the other members of your company. The invited members then receive an e-mail with a link to activate the account. If the link for account activation is not used within 30 days of being sent, the account to be activated will then be automatically deleted. The MyTRUMPF (Chinese version) User Administrator can access the personal information of members of their own organization. However, access to personal information of users from other organizations is not possible.

The MyTRUMPF User Administrator in MyTRUMPF (Chinese version) is also authorized to activate or reject members from their own organization.

In the MyTRUMPF (Chinese version) customer portal, you can report service cases for your TRUMPF products. Any personal information entered for reporting or editing service cases and all subsequent communications via MyTRUMPF (Chinese version) will be stored. To create a service case, we collect the reason for your report, the machine and machine number, the fault number, your specific requirements and description, and contact information (salutation, name, phone number, e-mail address). Please make sure that the information provided by you on a voluntary basis does not contain any sensitive personal information about you or the personal and sensitive personal information about others. Mandatory fields are marked. The scope of the personal information stored depends on the information you provide on a voluntary basis. Through your MyTRUMPF (Chinese version) account, you can view or add the information about your machine (machine number, product name, year of manufacture, country, postcode and location), the information about the TRUMPF software you use, and the information about your TRUMPF order (order number, order status, date, job code, total amount of order, machine number, delivery address, billing address, orderer, customer number). The above information generally does not relate to any personal information, but only to machine data. We collect the above information to fulfill your order or to facilitate your use of TRUMPF products, and if you refuse to provide such information, you will not be able to properly use MyTRUMPF (Chinese version) to manage and view your TRUMPF assets. Please note that the personal information in "My Factory" column in your MyTRUMPF (Chinese version) account may be viewed by other members of your organization.

Your personal information will be deleted if it is no longer necessary to keep it for the purposes mentioned above (including billing) or due to the existence of other legal requirements.
